Contract Manager Lists
- In the list "Contract overview" you can easily get an overview of the master data of your contracts in NAV.
- Via the "New" action in the START tab, you can create new contracts and edit them via the "Edit" action.
- The following actions are available for selection in the ACTIONS tab:
- Mark as “expired", possibility to mark contracts in the list as expired
- Copy Contract to copy the selected contract.
- The following actions are available in the NAVIGATE tab:
- “Comment", leave comments on the selected contract here.
- “Navigate": Searches for all items and documents that exist for the document number and posting date on the selected contract.
- "Dimensions": Displays or edits dimensions, such as an area, project, or department that you can assign to contracts to analyze the transaction history.
- You can display and filter the following master data in the contract overview:
- Contract number
- contract: Option (customer/vendor)
- Contract partner no.
- Contractual partner Debitor/vendor Name
- contract start date
- end date of contract
- status
- Contract status
- responsibility code
- Description of the
- contract group
- In the list "Contract types" it is possible to view and maintain different contract types. Via the action "New" on the tab START, you can enter a new contract type by entering a contract type code and a description of it.
- In the list "Contract groups" it is possible to view and maintain different contract groups. Via the action "New", in the tab START, you can enter a new contract group by entering a contract group name and a description of it.
- In the list "Contract line types" it is possible to view and maintain different contract lines. You can enter a new contract line type by entering a contract line type code and a description for it in the "New" action on the START tab.
- In the "Expired contracts" list, all expired contracts are listed in an overview.
- These columns can be displayed:
- Contract number
- Contract to customer number
- Contract to vendor number
- Contract to customer Name
- Contract to vendor Name
- contract start date
- end date of contract
- status
- Contract status
- responsibility code
- Description of the
- contract group
- Last edited on
- Last edited by
- These columns can be displayed:
Creating or editing contracts
In the list "Contract overview" it is possible to create new contracts via the action "New", or to edit the selected contract via the action "Edit".
- The following actions are available:
- "Create contract item", creates contract items for this contract.
- "Navigate": Searches for all items and documents that exist for the document number and posting date on the selected contract.
- “Comment“: leave comments on the selected contract here.
- "Documents": Opens a list of documents assigned to the contract.
- "Release": Sets the contract status to released.
- "Mark as expired": Sets the contract status to expired, the contract can now be found in the Expired contracts list.
- "Reset status": Sets the contract status to open.
If a new contract will be created, the following fields are available:
- In the General tab, the following fields are available for you to fill in (1):
- (PS Unique number of the contract from number series) (CODE)
- Contract type (lookup to contract type)
- Description of the
- contract: Option (customer/vendor)
- Contract partner no. (customer overview/vendor overview)
- Name, Name 2 (not editable is taken from the trunk)
- Address, address 2 (not editable is taken from the trunk)
- ZIP code (not editable is taken from the trunk)
- Location (not editable is taken from trunk)
- Telephone number (editable from the trunk)
- E-mail (not editable is taken from the trunk)
- Contract group (from the list "Contract groups")
- Start of contract (date)
- End of contract (date)
- Responsible employee (lookup on seller / buyer codes)
- Responsible team (lookup on sales teams NAV)
- Status ((Open / Released / Approval pending) / Approval canceled)
- Extended contract status (new page/table with freely definable status as for extended document status)
- Latest notice period (date)
- Terms of Payment (Lookup on Terms of Payment)
- Delivery to Code (Lookup on Delivery to Codes Filtering on Debitor/Vendor)
- Terms of Delivery Code (Lookup on Terms of Delivery)
- On the Rows tab, you can display and fill the following columns (2):
- Contract number
- line number
- Position number (analog position numbers feature)
- Type (resource / G/L account / ' ')
- Contract line type (lookup for contract line types)
- Number (depending on type of selection (resource or G/L account))
- quantity
- amount
- Repetition rate (as in Recurring Book Sheet)
- Unit code (lookup to units)
- Standard comment on line
- Service Articles (Lookup on Service Articles)
- Data storage (3)
- Attachments to a contract can be selected and stored in all common formats.
- Contract documents
- This area lists all stored contract documents.
- Links (4)
- Remarks can be assigned to a contract.
Tile for expiring contracts
It is possible to add a tile to the sales order management with the contract manager on the start page.
This tile provides a quick overview of all expiring contracts, depending on the warning setting in the "Contract Manager Setup".
Click on the tile to open a list of all affected contracts that are about to expire.
